Privacy policy.
How we use the details you send when you make an enquiry, or instruct an expert through us.
Summary
- We use your details to deal with your enquiry and, if you go ahead, to arrange the expert and the report.
- We share them only with the people involved in the case (the experts, or the solicitors and barristers choosing an expert), our font providers and the providers who run our systems, unless the law requires otherwise.
- You can ask for a copy of your data, or for it to be corrected or erased.
1Who we are
Medical Experts for Lawyers finds medical expert witnesses for solicitors and barristers, and arranges their reports. You can contact us about anything in this policy at info@
For enquiries, this website, experts who apply to join us and our own business records, we are the controller of your personal data. When you instruct an expert through us, you remain the controller of your client’s information. We handle it as your processor: only on your instructions, and only to arrange the assessment and the report.
2What we collect
- When you visit this website: our font providers, Fontshare and Google Fonts, receive your IP address and browser details so that the fonts can load.
- When you send an enquiry: your name, firm, email address and phone number, and what you tell us about the case, such as the type of case, the specialty and a short summary. The form also records the page you sent it from.
- When you call or email us: your contact details and what you tell us.
- When you instruct an expert through us: what is needed to arrange the assessment and the report. This can include your client’s name, contact details, medical records and court documents.
- When an expert asks to join us: their contact details, CV, registration, insurance and professional details.
3Leave client details out of a first enquiry
Please do not include your client’s name, or send medical records or case papers, with a first enquiry. We only need them once you have chosen an expert.
4How we use it, and our lawful basis
6Where it is stored, and how we protect it
An enquiry sent through the form on this website comes to us by email, and the website also keeps a copy in its own records, so that none is lost if an email fails.
We store data on secure, encrypted servers in the UK or the European Economic Area. Medical records are sent through encrypted channels, and only people who need the information for the case can see it. If a breach happens, we tell you and the Information Commissioner’s Office where the law requires us to.
7How long we keep it
- Medico-legal reports and notes: generally for 7 years after the case ends.
- Accounting records: for 6 years, for tax purposes.
- Enquiries that do not lead to an instruction: only for as long as we need them to deal with the enquiry.
- Expert applications: while the expert works with us; if they do not join, or once they leave, only for as long as we need them.
8Your rights
Under UK data protection law you have the right to be told how we use your data, and to ask us to:
- give you a copy of it
- correct it, or erase it
- restrict how we use it, or stop using it
- send it to you, or to someone else, in a format a computer can read
Some rights apply only in certain situations. We do not make decisions about you by automated means. To use any of these rights, email info@
9Complaints
If you are unhappy with how we have used your data, please tell us first so we can put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint.
10Changes to this policy
We update this page when the way we use personal data changes. The date at the top shows when it last changed.
